Administrative Assistant / Inside Sales

Job Summary

The Administrative Sales Assistant is responsible for providing support to the Sales Department and staff, acting as a liaison between Sales, Dispatch, Credit and Billing departments. Reports to the Office Manager.

$20.00 - $22.00 DOE


  • Invoice receipt and preparation for A/P payment
  • Reconciliation of vendor statements for raw materials
  • Reconciliation of raw material receipts against vendor invoices; resolution of discrepancies in inventory quantities
  • Daily goods receipt materials packing slips/batch reports and invoices
  • Resolution of Goods Receipts/Invoices Receipt issues with corporate A/P department
  • Track aggregate production and production changes 
  • Process CODs and create bank deposit
  • Maintaining orderly records in compliance with GAAP and JSOX (digital and paper files)
  • Monthly audit of raw material delivery tickets/invoices
  • Monthly audit  of raw material inventories
  • Assistance with inventory reconciliation and purchase tracking
  • Assist with special projects as needed
  • Backup to others in Admin Department as needed; i.e. phones, reception desk, billing


To include, but not limited to:

  • Strong Communication Skills (both verbal / written)
  • Basic understanding of cost centers, budgets, statements, supply chain, inventory tracking, and freight
  • Ability to multi-task
  • Ability to prepare and maintain various reports 
  • Strong proficiency with MS Excel (Including vlookup, pivot tables, etc.)
  • Ability to work cooperatively with others (i.e. customers, co-workers, vendors, etc.)
  • Flexibility to occasionally work outside of regular hours due to increased business
  • 3+ years in an Administrative Assistant role
  • Proficient in Microsoft Office (Word, Excel, Power Point, etc.)
  • Physical requirements: occasional lifting of 25-50 lbs., sitting frequently, typing, walking, standing and bending


High School diploma/GED

Conditions of Employment

Successful candidate must submit to post-offer pre-employment physical examination, drug/alcohol screen, and background check. Some positions require FMCSA regulated on-going drug and alcohol testing.
